HCSS HeavyBid alternative

hcss heavybid alternative

An hcss heavybid alternative is the wrong name for a field app, and SmartCrew will not pretend otherwise. HeavyBid estimates heavy civil work. SmartCrew does not estimate, take off, or do site planning. Use HeavyBid for the bid and SmartCrew for the field, or use SmartCrew when the piece you want to leave is the field side, not the estimate.

HCSS HeavyBid does not offer: AI reader for tickets & receipts. HCSS HeavyBid doesn't list these either: GPS-powered clock-ins, geofencing around the job site, live crew locations, hours by job and cost code, pick the machine at clock-in, payroll-ready timecards, supervisor dashboard, clock in/out reminders, daily job profitability, change orders & extras, equipment hours & locations, DOT & daily inspections, maintenance tracking, service requests from the field, utilization rates, shop queue, daily progress & production logs, jobsite photos & field notes, automatic daily reports for the office, digital hauling tickets, material & fuel logs, deliveries & production tracking, drag-and-drop crew scheduling, job & equipment assignments, schedule updates & notifications, dispatch with instant alerts, crew & team messaging, job-specific chat channels, company announcements, Job Safety Analyses (JSAs), toolbox talks & safety meetings, incident reports, plans, photos & job documents in the cloud, file sharing & permissions.

No: they do not offer it. Their own website says so, or it isn’t in the full feature list they publish (linked). Add-on: a paid add-on, a separate product or a higher plan. Limited: they have something close but narrower. Not listed (n/l on small screens): we searched their site and help pages and couldn’t find it, but they don’t publish a full list we could check.

This chart is SmartCrew’s feature list, so it doesn’t show what other products do that SmartCrew doesn’t (like estimating, payroll or hardware time clocks). Each comparison covers that in “where they’re the better pick”. SmartCrew’s Fleet Management, Sales CRM, and Scheduling & Communications are Premium categories; feature availability varies by plan.

Where each mark comes from

The short version

  • HeavyBid is HCSS estimating: activities, crews, quotes, markup, proposals, and a handoff of the estimate into a budget.
  • HCSS says the typical HeavyBid customer is a self-performing civil or infrastructure contractor.
  • SmartCrew has no estimating, no takeoff, and no site planning. You type the won budget onto the job.
  • The field tools in SmartCrew are GPS time tracking, live crew locations, job costing, equipment hours and maintenance, DOT inspections, daily reports, haul tickets, scheduling, dispatch alerts, crew chat, safety forms, files, and QuickBooks Online.
  • Sales CRM is a Premium pipeline. It is not HeavyBid.
  • No price numbers on either side. HCSS quotes. SmartCrew gives a number on a call with Andrew.
A SmartCrew job page for a culvert replacement: revenue, expenses and profit, budget versus spent for labor, materials, equipment, other costs and change orders, a jobsite map and hours by employee
SmartCrew sales pipeline: bids and leads as cards moving from lead to in progress, proposal sent and negotiation, with value and close date

HeavyBid is the estimate. Say that first.

HCSS calls HeavyBid the estimating and bidding software it started with in 1986. The product page says estimators build bids from scopes, activities, and crews, copy an old estimate, or import pay items. It lists bid management, setup and takeoff, quote management, markup and pricing, error checks, proposals, and project handoff.

The same page says the typical customer is a self-performing contractor on civil or infrastructure work that needs crews and heavy equipment. It also says HeavyBid is used by companies of many sizes. HCSS says 43 of the ENR top 50 heavy civil contractors use HCSS, and the HeavyBid page says more than 3,000 HeavyBid customers.

None of that is a field clock. If your search is hcss heavybid alternative because the estimate is slow, SmartCrew is the wrong tool. We will say that on the call. If the estimate is fine and the crew's hours never reach it, keep reading.

Who an hcss heavybid alternative fits

Pair HeavyBid with SmartCrew if

  • Your estimator should stay in HeavyBid. You are not shopping for takeoff.
  • The field still runs on paper timecards, a group text, and tickets in the truck door.
  • You have about 10 to 100 field employees and you want GPS time tracking, live crew locations, equipment hours, DOT inspections, daily reports, and haul tickets on one phone.
  • You will type HeavyBid's budget into the SmartCrew job, or have the office do it, and read profit while the job is open.
  • You want QuickBooks Online for the books, and you know SmartCrew does not process payroll.

Stay on HeavyBid, and maybe HeavyJob, if

  • You want the estimate to flow into HCSS field software without retyping the budget. HCSS calls that project handoff.
  • You want one vendor for estimating, job cost, safety, plans, and the shop.
  • You need telematics, machine control, or geofencing. SmartCrew does not sell them.
  • Your estimating team is large enough that HeavyBid's setup, quoted by HCSS as a short onboarding and a longer path to full use, is worth it.

The field switch, if HeavyJob is the part you want to leave

Owners say HeavyBid when they mean HCSS. Sometimes they mean the whole suite. HeavyJob is the field and job cost product. The hcss alternative page is that comparison. This page stays on the estimate.

A fair switch looks like this. The estimator keeps HeavyBid. The foreman stops splitting the day across HeavyJob, a safety app, and a stack of tickets. He clocks in on SmartCrew, picks the activity code and the machine, does the DOT inspection, logs the load, and sends the daily report. The office reads job cost against the budget that started in HeavyBid.

That handoff is a person, not a magic link. We do not claim a live HeavyBid integration. You enter the bid budget. Labor, equipment, materials, other costs, and change orders then show budget against spent. If you need the estimate to push itself into the field system, HCSS project handoff is the feature they advertise, and it points at their own field tools.

SmartCrew phone app while clocked in: time on the clock, the project, the activity code and the machine being run, with Break, Log & Switch and Clock Out
SmartCrew timecards screen: each employee's clocked hours by day for the week, with review and payroll tabs

Clocked in on a machine, and the week's timecards for the office. Demo data. The budget still comes from your estimating tool.

What SmartCrew will not copy from HeavyBid

We will not add a quiet estimating module and hope nobody notices. There is no takeoff, no site planning, no machine-control model, and no payroll run. Safety forms are JSAs, toolbox talks, and incident reports. They are not a bid.

Sales CRM is the closest name, and it is still not an estimate. It tracks leads, a pipeline, bids, and follow-ups so a job does not die in someone's inbox. HeavyBid Pre-Construction tracks opportunities and bid dates. HCSS describes that as bid management. Use it if your estimators need it. Use Sales CRM if the owner is also the person chasing the next invite. It is Premium.

SmartCrew materials screen: orders by project and vendor with quantity, unit cost, class, delivery date and whether each is billable and paid
SmartCrew reports menu on a phone: incident report, service request, service records, hauling log, receipts, service queue, field usage, DOT inspection and scheduling

Materials on the job, and the phone menu for reports and receipts. Demo data. None of this builds a HeavyBid estimate.

Equipment maintenance and hours, DOT inspections, scheduling, dispatch alerts, crew chat, and file storage are the rest of the field day. Fleet Management, Sales CRM, and Scheduling & Communications are Premium categories. Feature availability varies by plan.

Other pages if HeavyBid was only the starting point

  1. hcss alternative, the suite question, and HCSS HeavyJob vs SmartCrew for the field product in detail.
  2. b2w alternative, if the other estimating suite on the list is Trimble B2W.
  3. Heavy civil construction software for a company with about 45 people.
  4. Dirt work software with crm for the pipeline, not the takeoff.
  5. Procore if the real comparison was a general contractor platform and HeavyBid came up beside it.

How a pair is set up

  1. Leave HeavyBid alone

Your codes, crews, and history stay with the estimators. We do not migrate the estimate file into an estimating product we do not have.

  2. Set the field up in SmartCrew

Jobs, cost codes, crews, and machines. Our team does the setup and the training. Most companies are running within a few weeks.

  3. Put the won budget on the job

Labor, materials, equipment, other, and change orders. That is the bridge from HeavyBid to the field.

  4. Run the crew on one phone

GPS clock-in, inspection, haul ticket, daily report. The office reads profit without waiting for the job to close.

Questions people ask

Is SmartCrew an hcss heavybid alternative?

Only for the field. HeavyBid is estimating and takeoff. SmartCrew does not estimate, so it is not a HeavyBid replacement. It is the field ops pair, or the switch if you are leaving HeavyJob and keeping HeavyBid.

Can HeavyBid and SmartCrew be used together?

Yes. Bid in HeavyBid. Enter the budget on the SmartCrew job. The crew logs hours, machines, materials, and tickets against that budget. There is no claim of an automatic HeavyBid sync.

What does HeavyBid include that SmartCrew never will?

Setup and takeoff, quote management, markup, proposals, and estimate libraries, as HCSS lists them. Also anything in the HCSS fleet that is telematics or geofencing. SmartCrew does not do site planning, machine control, or payroll processing.

Does HeavyBid track crew time?

Not on the estimating pages we checked in November 2026. HCSS points daily production and time at HeavyJob. SmartCrew does GPS time tracking, live crew locations, and hours by job and cost code.

How long does HeavyBid take to set up?

HCSS says a dedicated coordinator runs implementation, typically 1 to 3 days, and that 95 percent of customers are operational within 90 days of starting. SmartCrew's own setup is the field account, and most companies are running within a few weeks. Those clocks measure different products.

How much does HeavyBid cost?

HCSS does not publish a HeavyBid price. The pricing page is a quote. SmartCrew starts at $99/month. Contact us for team pricing.
