Directional drilling contractor software for HDD crews

Directional drilling contractor software should track what decides a bore's profit. Crew hours by task. Rig and support equipment hours. Mud and spoils loads. Photos of what went in the ground. SmartCrew does that for HDD contractors with 5 to 100 employees, plus inspections, safety forms and job cost against the bid. It doesn't keep bore logs or connect to your locating system, and this page says plainly what to use for that.

The short version

  • A bore makes money by the foot and loses it by the hour: rock, tooling, a down rig, a frac-out, waiting on locates.
  • SmartCrew puts crew hours by task (setup, pilot, ream, pullback) and rig hours on the job from the clock-in.
  • The rig, the vac truck and the fusion machine keep their hours, inspections and service requests in one place, with a shop queue.
  • PHMSA says excavators must make sure existing utilities are located and marked before drilling. SmartCrew keeps the photos and files. It doesn't manage 811 tickets.
  • Bore logs, locator data, as-builts and per-foot billing stay in other tools.
SmartCrew service queue: equipment problems reported from the field with who reported them, when, urgency and repair status
SmartCrew phone app while clocked in: time on the clock, the project, the activity code and the machine being run, with Break, Log & Switch and Clock Out

What does an HDD crew's week look like?

It's setup, drilling and cleanup, over and over, with the clock running on an expensive spread. A typical crew is a rig operator, a locator, a hand or two and a vac truck operator. Behind them is a drill rig, a mud mixing system, a vac truck, a mini excavator for the pits, a pipe trailer and often a fusion machine.

Most drilling contractors our size work as subs: fiber for the telecom builders, conduit for power, gas and water services, road and driveway crossings. Some weeks it's a lot of short shots down a neighborhood. Some weeks it's one long crossing that ties up the rig for days.

Where a bore loses money:

  • Rock or cobble that slows the pilot and eats tooling.
  • A down rig, with the whole crew standing around it.
  • Inadvertent returns and the cleanup that follows.
  • Mud and spoils hauling and disposal.
  • Waiting on locates, potholing and restoration nobody priced.

A bore makes money by the foot and loses it by the hour. If the crew drilled half the footage you planned, the day still cost a full day. You want to know that the same night, not at the end of the job.

What do PHMSA and OSHA say about drilling near buried lines?

Find the lines first, then drill. That's the short version from both agencies.

  • Call 811. PHMSA says calling 811 connects you to your local underground utility operators so buried lines get marked before you dig, and advises calling a few days before any digging project. Its damage prevention page explains that 811 reaches the one-call center, which notifies the operators in the planned dig area so they can mark their facilities.
  • Cross bores. PHMSA describes a cross bore as a newly installed underground utility line that is inadvertently drilled through or intersects an existing facility, such as a sewer, septic line or fiber optic conduit. It says excavators must make sure all existing underground utilities are accurately located and clearly marked before any drilling or excavation.
  • Damage. PHMSA notes that excavation damage to pipelines can result in deaths and injuries, and property and environmental damage.
  • OSHA's excavation rule. Under 29 CFR 1926.651(b), the estimated location of utility installations has to be determined before an excavation is opened, the owners have to be contacted within customary local response times, and the exact location has to be determined by safe and acceptable means as the work approaches it. That covers your entry and exit pits.

Your state's one-call law sets the details, so check it. Here's where SmartCrew fits: photos of the locate marks and the potholes go in the daily report with the date, the locate ticket confirmation and the bore plan live in the job's files, and the JSA covers the day's hazards. SmartCrew doesn't request locates, track ticket expiration or read your locator.

What does horizontal directional drilling software have to track?

Hours by task, the spread's equipment, the loads, the daily record and the cost against the bid. Here's how that lines up in SmartCrew.

How does SmartCrew run a bore day?

Clock in by task, on the machine

The crew clocks in on their phones with GPS and picks the project, the activity code and the machine. We set up your account with your own codes, so the rig operator can clock in on pilot and the rig, then switch to ream and pullback with Log & Switch. The rig's hours land on the job without anyone writing them down.

The rig and the vac truck

The vac truck gets its DOT inspection on the phone before it rolls. When the rig throws a hydraulic leak, the operator files a service request with the urgency, and it shows up in the shop queue. Each machine's record keeps hours, last and next service and its inspection log.

SmartCrew phone app asking the worker to pick a project, an activity code and the equipment before starting
SmartCrew equipment inspection form on a phone: DOT or daily inspection, machine, hours or miles, and pass or fail checks for brakes, steering, lights and tires
SmartCrew reports menu on a phone: incident report, service request, service records, hauling log, receipts, service queue, field usage, DOT inspection and scheduling

Picking the project, activity and machine; a DOT inspection; and the phone's reports menu with service requests and the hauling log. (Demo account; names are made up.)

Mud and spoils

Every vac truck load out goes in the hauling log with the truck, the job and the yards. Disposal receipts get a photo, and the AI reader enters the data, so the cost lands on the bore that made it.

Footage and photos at the end of the day

The foreman logs the day's progress and production, adds photos of the locate marks, the potholes and the restoration, and the daily report goes to the office automatically.

Where each mark comes from

What doesn't SmartCrew do for drilling contractors?

SmartCrew is general heavy civil software, not drilling software. It does the crew, iron, loads and cost side well. The drilling-specific records live elsewhere.

  • Bore logs. No rod-by-rod logging, depth or pitch records.
  • Locating and guidance systems. SmartCrew doesn't connect to your locator.
  • 811 ticket management. No locate requests, ticket tracking or expiration reminders.
  • As-builts and mapping. Not in SmartCrew. You can store the as-built file on the job.
  • Per-foot billing and invoicing to the GC. We don't list it. SmartCrew integrates with QuickBooks Online for accounting.
  • Mud calculations, estimating, telematics hardware and payroll processing. Not SmartCrew.

HDD contractor software: time tracking apps or enterprise suites?

Most drilling outfits our size run a time app, a clipboard and a spreadsheet, or they get sold an enterprise suite they'll never fully set up. Neither one tracks the spread and the job cost the way a bore needs.

SmartCrew

  • Crew time by task, rig hours, inspections, loads, daily reports and job cost in one app.
  • Built for heavy civil trades with 5 to 100 employees, drilling included.
  • We set it up, move your information over and train your crews.

Time tracking apps

  • Hours by job and cost code, on the phone.
  • The rig's inspections, the shop queue and the mud loads are usually somewhere else.
  • Compare: WorkMax, ClockShark, BusyBusy.

Enterprise suites

  • A lot of power for large heavy civil and utility contractors.
  • More setup, more screens and a bigger bill than a few drilling crews need.
  • Compare: HCSS HeavyJob, Raken, Procore.

We're not trying to serve every construction trade. We built SmartCrew for family businesses like ours that run crews and iron, and drilling companies fit that.

What should you ask any HDD software vendor?

  1. Can my rig operator switch from pilot to ream to pullback without a paper log?
  2. Do the rig's hours land on the bore automatically from the clock-in?
  3. How does a hydraulic leak on the rig get to my mechanic, and how do I see when it's fixed?
  4. Where do vac truck loads and disposal receipts go, and do they hit the job's cost?
  5. Can my foreman attach photos of locate marks and potholes to the day's report?
  6. Does it keep bore logs or connect to my locator, and if not, what do I use?
  7. Can I see a bore's cost against the bid the same day?

Is SmartCrew right for a small directional drilling company?

Yes, if you have about 5 to 100 employees. That's who we build for: small to midsized contractors. Small, for us, means a real crew. Not a one-man shop.

Is SmartCrew a fit for your crew size?
Your companySmartCrew?Why
1 to 4 peopleProbably not yetIf it's you and a helper, a quoting and invoicing app may be all you need. We built SmartCrew for companies with crews to manage.
5 to 20 peopleYesThe owner still runs a machine some days. The office is one or two people. You don't need more software. You need fewer places to look.
20 to 50 peopleYesA few crews, a shop and trucks on different jobs. Our own family company runs 20 to 30 guys. This is the size we built it for.
50 to 100 peopleYesMore crews, more iron, more tickets. Same simple app for the field. You see every job against the bid.
Over 100 peopleProbably notBigger companies often want enterprise software with a full-time admin. That's not us. See HCSS HeavyJob vs SmartCrew.

Questions people ask

What software do HDD contractors use?

Many use a mix: a time app for hours, the locating system's software for bore data, and spreadsheets for the rest. SmartCrew replaces the time app and the spreadsheets for companies with 5 to 100 employees, with crew time, equipment, loads, daily reports and job cost in one app. It doesn't replace bore logging or locator software.

Does SmartCrew keep bore logs?

No. SmartCrew doesn't do rod-by-rod logging or connect to locating and guidance systems. The daily report holds progress, photos and notes, and the bore log file can be stored on the job.

Can SmartCrew track rig hours and maintenance?

Yes! Operators pick the rig when they clock in, so its hours land on the job. Each machine has its hours, last and next service, and inspection log, and breakdowns go to the shop queue as service requests.

Does SmartCrew manage 811 locate tickets?

No. It doesn't request locates or track ticket expiration. You can keep the ticket confirmation in the job's files and add photos of the marks and potholes to the daily report.

What is a cross bore?

PHMSA describes a cross bore as a new underground utility line that is inadvertently drilled through or intersects an existing facility, like a sewer, septic line or fiber conduit. It says excavators must make sure existing utilities are accurately located and clearly marked before drilling.

Can I track mud and spoils hauling?

Yes. Vac truck and dump truck loads go in the hauling log with the truck, the job and the yards, and receipt photos can be read by the AI reader.

How much does horizontal directional drilling software cost?

SmartCrew's pricing depends on your company size and the features you need, and it's built to be well below enterprise construction software. SmartCrew starts at $99/month. Contact us for team pricing.
