Enterprise software · Procore vs SmartCrew

procore alternative

Procore is a big construction management platform for owners, general contractors and specialty contractors, priced by the dollar volume of construction you run through it. SmartCrew is built only for heavy civil and dirtwork companies with 5 to 100 employees: crew time, machines, haul tickets, daily reports and job profit in one simple app. If you do your own work with your own crews and iron, that's who we built SmartCrew for.

Procore does not offer: shop queue.

No: they do not offer it. Their own website says so, or it isn’t in the full feature list they publish (linked). Add-on: a paid add-on, a separate product or a higher plan. Limited: they have something close but narrower. Not listed (n/l on small screens): we searched their site and help pages and couldn’t find it, but they don’t publish a full list we could check.

This chart is SmartCrew’s feature list, so it doesn’t show what other products do that SmartCrew doesn’t (like estimating, payroll or hardware time clocks). Each comparison covers that in “where they’re the better pick”. SmartCrew’s Fleet Management, Sales CRM, and Scheduling & Communications are Premium categories; feature availability varies by plan.

Where each mark comes from

The short version

  • SmartCrew is built only for self-performing dirtwork and heavy civil companies with 5 to 100 employees. Procore is built for owners, general contractors and specialty contractors.
  • Procore doesn't publish prices. It charges an upfront annual fee per product based on your annual construction volume, with unlimited users. Its Field Productivity product is priced per full-time employee.
  • On Procore's own pages, GPS clock-in, crew and equipment scheduling, incident reports and the QuickBooks Online connector each need a separate Procore product or tool.
  • We couldn't find haul tickets, DOT inspections, a shop queue or a fuel log on Procore's site. It does have material delivery tickets and an equipment pre-operation checklist.
  • Procore is the better pick for document management, RFIs, bid management, custom reports and a marketplace of 500+ integrations.
  • SmartCrew starts at $99/month. Contact us for team pricing.

Procore is built for GCs and owners. SmartCrew is built for dirtwork.

Procore says it partners with owners, general contractors, specialty contractors and other project stakeholders, and prices by your annual construction volume. For a GC or owner managing lots of outside companies, Procore is the better pick.

SmartCrew is built for one thing: heavy civil and dirtwork contractors with 5 to 100 employees. Excavation, grading, sitework, underground utilities, paving, road construction, demolition, septic, directional drilling and land clearing. That's all we do.

Where Procore falls short on a dirtwork job:

  • The crew tools cost extra. GPS clock-in is in its Field Productivity product, priced per full-time employee. Crew and equipment scheduling and incident reports are separate products too.
  • Timesheets don't sync to QuickBooks through its connectors, per Procore's own docs. On QuickBooks Desktop, timesheet data is exported and imported by hand.
  • Not listed: haul tickets, DOT inspections, a shop queue or a fuel log.
  • No published price. An upfront annual fee per product, based on your construction volume.

What Procore is, and who it's for

Procore is cloud construction management software from Procore Technologies, a public company (NYSE: PCOR). Its pricing page says it works with owners, general contractors, specialty contractors and other project stakeholders, and that there are over 3 million individual Procore users.

It's a lot of software. Project management, quality and safety, project financials, resource planning, bid management and more, with 500+ integrations and a civil and infrastructure offering for transportation, rail, utilities, aviation and marine work. It has also put AI agents across the platform that can create RFIs, change events and daily logs.

That power is real. It's also built for a bigger org chart than most dirtwork companies have. A self-performing excavation or grading company runs a different week: your own guys on your own machines, trucks moving dirt, and one question at the end of every day. Did we make money on that job?

How much does Procore cost?

Procore doesn't publish prices. Its pricing page says pricing "depends on the products you need and the amount of construction you do," and you start by asking for a custom quote. Here's everything the page does say, checked October 26, 2026.

How Procore prices, from its own pages
What you buyHow Procore prices itPublished price
Procore products (project management, financials, quality and safety and the rest)An upfront annual fee for each product, based on your Annual Construction Volume: the dollar value of the construction work across your projectsNot published
Field ProductivityPriced by full-time employee (FTE), the one exception to the volume modelNot published
Users and storageUnlimited. "We'll never charge you for adding more users to Procore."Included
Procore AI (Digital Coworker plans)A flat rate on the starter pack, or usage-based creditsNot published

Sources: Procore pricing and Procore AI plans, October 26, 2026. Procore gives numbers only in a quote, and plans change.

So the bill follows the dollar size of your jobs, not the size of your crew. And each product you add is its own annual fee.

SmartCrew starts at $99/month, and it's built to be well below the cost of enterprise construction software. Contact us for team pricing.

The key difference: a platform for big projects vs one app for the dirtwork crew

We run 20 to 30 guys in our own family business, and when we looked at enterprise software it was too complicated, confusing, and expensive for a company our size. That's not a knock on Procore. It's a question of who it was built for. Here's how it plays out piece by piece.

Power for the office vs simplicity for the field

Procore gives the office a lot: custom reports and dashboards, budgets, change orders and documents with permissions. The crew side is spread out. Timesheets and daily logs are tools in the platform, chat lives in Conversations, and GPS clock-in for individuals is in Field Productivity, a separate product priced per FTE. Equipment hours go on the timesheet entry, not the clock-in.

Our crews aren't tech savvy. And they don't need to be. In SmartCrew the operator opens one app, taps Clock In, picks the job, the activity code and the machine, and goes to work. When he moves to another task or another machine, he taps Log & Switch.

Setup and training

Procore is configurable, and that cuts both ways. Every product you add brings its own permissions, settings and training. That's normal for a platform this size. It's also a job somebody in your office has to own.

We do the heavy lifting for you. Our team sets up your account, moves your information over, organizes your workflows and trains your people. Most companies are up and running within a few weeks.

Paying for products you don't use

Because Procore prices each product, the question is how much of each you'd use. A lot of it is built for coordinating a big project: documents shared with outside partners, RFIs, owner-facing financials. A dirtwork company with its own crews skips a lot of that.

SmartCrew is built for one kind of company, so there's less to skip. You can start with the features you need most and add the rest later. To be straight with you, feature availability varies by plan with us too: Fleet Management, Sales CRM, and Scheduling & Communications are Premium categories.

Machines and the shop

Procore's equipment product tracks mileage, hours and time-based metrics and schedules preventive maintenance, and location and usage can come from telematics integrations with Samsara, John Deere and Caterpillar through its resource management products. Its maintenance logs record equipment issues. For inspections it offers a general Equipment Pre-Operation Checklist template. We couldn't find DOT or DVIR inspections, a request workflow from the field to the shop, or a shop queue.

In SmartCrew the operator does the DOT or daily inspection on his phone. If something's wrong, he sends a service request, and it lands in the shop queue with an urgency and a status. The machine record keeps hours, mileage, last and next service and the inspection log.

Trucks and loads

Procore's materials tools track delivery tickets against open purchase commitments and log material receipts from the phone. That's built around material you buy and receive. We couldn't find load tickets by truck, pit and yards, or a fuel log, on Procore's site.

SmartCrew's hauling log keeps every load: ticket, time, truck, project, import or export, material, yards and the pit it came from. Snap a photo of a paper ticket or a fuel receipt and the AI reader enters it for you. Procore's AI does something different: its daily log agent turns field photos, notes and audio into a daily log, and it's sold through Procore's AI plans. We didn't find it reading tickets or receipts.

Knowing your profit every day

Procore's budget tool watches labor, production data and expenses against the budget as they happen, and its financials show how spending affects the profit you'll have at closeout. That's serious project accounting.

SmartCrew asks the daily version of that question. The job page shows revenue, expenses and profit, plus budget vs spent for labor, materials, equipment, other costs and change orders, and hours by employee. You see a job going sideways this week, not at closeout.

SmartCrew phone app asking the worker to pick a project, an activity code and the equipment before starting

The whole crew side of SmartCrew: pick the job, activity code and machine, switch tasks during the day, submit the week. (Demo account.)

Procore vs the other enterprise and construction management tools

Procore, HCSS HeavyJob, Raken, JobTread and Contractor Foreman all run more of the business than a time clock. They start from different places: Procore from big projects, HCSS from heavy civil job costing, Raken from the daily report, JobTread and Contractor Foreman from builders. Here's each one against SmartCrew's feature list, from their own websites.

Feature chartSmartCrew vs enterprise and construction management software

Built to run big projects or every kind of contractor. Lots of power, but more setup, more screens and a bigger bill than most 5 to 100 person dirtwork companies need.

Where each mark comes from

When Procore still makes sense

Pick SmartCrew if

  • You self-perform dirtwork with 5 to 100 employees: your guys, your machines, your trucks.
  • You want time, DOT inspections, the shop queue, haul tickets and job profit in one app.
  • Your crew needs to clock in on the job, the activity and the machine in a few taps.
  • You use QuickBooks Online and want payroll-ready timecards.
  • You want us to set it up and train your people, and be running within a few weeks.

Pick Procore if

  • You're a general contractor, owner or specialty contractor on large projects with a lot of outside companies.
  • You need document management, RFIs, change orders and custom reports across many projects.

The best Procore alternatives in 2026

It depends on what's bothering you about Procore. If it's the weight and the price model, look at tools built for your size. If it's the trade fit, look at tools built for heavy civil.

  1. SmartCrew, for self-performing dirtwork and heavy civil companies with 5 to 100 employees that want crew time, machines, loads, daily reports and job profit in one app. That's us, so read the rest of this page with that in mind.
  2. HCSS HeavyJob, built for heavy civil contractors that self-perform, with estimating in HeavyBid and a deep fleet and shop lineup. A strong fit for larger heavy civil companies. See HCSS HeavyJob vs SmartCrew.
  3. Raken, a field app that grew out of daily reports and now adds time cards, production tracking and RFIs, with most of it on its Performance plan. See Raken vs SmartCrew.
  4. JobTread, estimating and project management with a published price, aimed mostly at home builders, remodelers and specialty contractors. See JobTread vs SmartCrew.
  5. Contractor Foreman, an all-in-one app for small and medium residential and commercial contractors, with published plans. See Contractor Foreman vs SmartCrew.
  6. BusyBusy, if all you really used Procore for was the timecard. A GPS time tracking app with a free plan. See BusyBusy vs SmartCrew.

Procore is the large-project system. The heavy civil answers are the hcss alternative, the b2w alternative, and heavy civil construction software for a company around 45 people.

Switching from Procore

You don't have to switch everything at once. Start with the features you need most, and keep Procore running for anything still tied to it until you're ready.

  1. Tell us how you run

A short call with Andrew: your crews, your machines, your cost codes, and what you use Procore for today.

  2. We set it up and move your information

Our team sets up your account, migrates your information and organizes your workflows, so your jobs, people and equipment are there on day one.

  3. Start with the crew's phones

Clock-ins with the job, activity code and machine, daily reports and inspections. We train your people as you go.

  4. Add the office side

Job costing against the bid, haul tickets, the shop queue and scheduling, when you're ready. Most companies are up and running within a few weeks.

Questions people ask

What is the best Procore alternative for a small excavation company?

For a self-performing dirtwork company with 5 to 100 employees, SmartCrew is built for the daily job: GPS time by job and machine, inspections and the shop queue, haul tickets, daily reports and job profit against the bid. If you coordinate lots of outside companies on big projects, Procore may still fit best.

How much does Procore cost?

Procore doesn't publish prices. It charges an upfront annual fee per product based on your annual construction volume, with unlimited users, and you get the number in a custom quote. The Field Productivity product is priced per full-time employee instead.

Is Procore good for excavation and heavy civil contractors?

Procore has a civil and infrastructure offering and project management, budgeting and document tools. For the dirtwork-specific jobs, we couldn't find haul tickets, DOT inspections, a shop queue or a fuel log on its site, and GPS clock-in and crew scheduling are separate products.

Does Procore sync timesheets to QuickBooks?

Not through its connectors, per Procore's own documentation. The QuickBooks Online connector needs Procore's Financial Management tools and QuickBooks Online Plus or Advanced, and timesheets are on its list of data that doesn't sync. With QuickBooks Desktop, timesheet data is exported and imported by hand.

Does Procore have GPS time tracking?

Yes. GPS clock in and out for individuals is part of its Field Productivity product, which is priced per full-time employee. Its timesheet settings can capture location at clock in and out with a geofence, and the My Time app can send reminders when someone enters or leaves the job.

Can Procore's AI read haul tickets or receipts?

We didn't find that. Procore's daily log agent turns field photos, notes and audio into daily logs, and it's sold through Procore's AI plans. SmartCrew's AI reader enters the data from a photo of a haul ticket or a receipt.

Can SmartCrew replace Procore?

For a self-performing dirtwork company, it covers the crew, the machines, the loads, the daily reports and the job's profit. It doesn't do estimating or takeoff, and it isn't built to manage RFIs and documents across lots of outside companies.

How much does SmartCrew cost?

SmartCrew starts at $99/month, and it's built to be well below the cost of enterprise construction software. Contact us for team pricing.
