Scheduling & Crew Communication · Everyone knows where to be

Crew scheduling software: everyone knows where to be

Crew scheduling software puts every crew, operator and machine on a calendar by job and day. And it tells the field the moment the plan changes. SmartCrew does it with drag-and-drop crew scheduling, job and equipment assignments, and updates that reach the crew's phones. Dispatch alerts and job chat handle the follow-up. It's built for dirtwork companies, where moving a crew almost always means moving iron too.

The short version

  • Build the week on a drag-and-drop calendar: crews and jobs by day across the month.
  • Assign the crew and the equipment to the job together, so nobody shows up without the machine they need.
  • Schedule updates and notifications go to the crew's phones. Dispatch with instant alerts handles the urgent stuff.
  • Crew messaging, job-specific chat channels and company announcements replace the group text.
  • Scheduling & Communications is a Premium category in SmartCrew; feature availability varies by plan.

What causes the morning scramble?

A schedule that lives in one person's head. Maybe it's on a whiteboard in the shop, maybe it's a text thread, maybe it's the owner on the phone at 9 p.m. It works until something changes, and something always changes.

Rain shuts down one job. The dozer's down. A guy calls in sick. The GC wants you a day early. Now the plan for tomorrow is different, and the only way to tell everyone is a round of calls and texts. Somebody doesn't get the message and shows up at the wrong job.

  • People and machines get scheduled separately. The foreman knows who's on the job, the shop knows which machine is free, and they compare notes at 6 a.m.
  • Changes reach some of the crew and not the rest.
  • Nobody can see the whole week, so Thursday gets overbooked and a loader sits Monday.
  • What was planned and what actually got worked never end up in the same place.

Everyone knows where to be. That's the whole job of a schedule.

Why do crews and machines have to be scheduled together?

Because on a dirt job, one doesn't work without the other. An operator without his machine is a wasted day of wages. A machine without an operator is iron sitting in the yard. And most changes hit both.

How does SmartCrew scheduling work, step by step?

You build the week on a calendar, attach the crew and the iron, and SmartCrew tells the field. When it changes, you drag it.

  1. Build the week on the calendar

The scheduling calendar shows crews and jobs by day across the month. You can see an overbooked Thursday before Thursday.

  2. Assign the crew and the equipment

Put the people and the machines on the job together, with job and equipment assignments.

  3. Drag it when the plan changes

Drag-and-drop crew scheduling moves a crew or a job to another day without retyping anything.

  4. The crew gets the update

Schedule updates and notifications go to the people affected. Your guys see their assignments on their phones.

  5. Send the urgent stuff by dispatch

Dispatch with instant alerts is for the change that can't wait, like a job moving at 6 a.m.

  6. Talk it through in the job channel

Questions about the change go in the job's chat channel, not in ten private texts.

  7. The crew clocks in to the job

On site, they clock in and pick the job, the activity and the machine. The office sees who is actually where.

How do you get marching orders to the whole crew?

You send them once, in one place, and everybody gets them. Keep your entire crew connected: that's what crew communication in SmartCrew is for. Send marching orders and share updates with dispatch and instant messaging.

Crew and team messagingDay-to-day talk between the crew and the office"Need another load of stone on the pad."
Company announcementsOne message to everybodyWeekly crew assignments, a lane closure, a safety talk

SmartCrew's phone app also shows channels such as company, sales, equipment and crew. Messages in examples are made up.

It replaces the group text, WhatsApp or Slack thread that half the crew muted months ago. And the conversation stays with the job, so the next guy on it can scroll back and see what was decided.

How do you compare the plan with what actually happened?

Look at the clock-ins next to the schedule. A schedule is a plan. The clock-in is what happened. In SmartCrew both live in the same app.

The office dashboard shows a map of crews on jobsites and a list of who is clocked in on which job and machine. If the crew you scheduled on the pad job clocked in at the culvert, you'll see it that morning, not on Friday's timecards. See construction time tracking for how the clock-in works.

Who should own the schedule?

One person. Usually the owner, or whoever runs operations. Everybody should be able to see the schedule, but one person moves things, or it turns into an argument.

Foremen should be the first to flag a problem: a job running long, a machine that needs the shop, a crew that's a man short. In SmartCrew they say so in the job channel, the person who owns the schedule drags it, and the crew sees the change on their phones.

Keep it current, too. A schedule that's three days stale is worse than no schedule, because people trust it. When a change takes one drag and the crew hears about it right away, keeping it current stops being a chore.

Do you need a separate scheduling app?

Not if the schedule, the clock-in and the crew chat live in one app. Time tracking apps were too basic: some schedule people, but the machines, the shop and the job cost live somewhere else. Enterprise software was too complicated, confusing and expensive for a company our size. Here's SmartCrew's scheduling and crew communication list next to the apps people compare it with.

Where each mark comes from

What to look for in any crew scheduling software

Look for a schedule your office will actually keep current and your crew will actually see. Here's what to ask.

  • Can I put crews and equipment on the same job in the same view?
  • How long does it take to move a crew to another day? If it's more than a drag, it won't stay current.
  • How does the crew find out about a change: a notification, an alert, or a phone call from me?
  • Is chat built in, or is it another app with another login?
  • Can I compare the schedule with who actually clocked in where?
  • Can workers request a day off from their phone?
  • Is scheduling included, or a higher plan or paid add-on?

That last one varies a lot. For example, Raken's help center lists Resource Scheduling as a paid add-on available on its Performance plan only (Raken help center, checked October 22, 2026). In SmartCrew, Scheduling & Communications is a Premium category. See the Raken comparison for more.

What SmartCrew scheduling doesn't do

SmartCrew's schedule is the who-goes-where: crews, operators and machines by job and day. It isn't a critical path project schedule for a big GC's submittal, and we don't pretend it is. It doesn't run payroll, either. Timecards are payroll-ready, and we integrate with QuickBooks Online.

It's built for dirtwork and heavy civil companies with 5 to 100 employees. If you also want the trucks and loads on the same page, read hauling software. If you're comparing with a field service app built around quotes and service calls, see Jobber vs SmartCrew.

Who is SmartCrew for, by crew size?

Dirtwork and heavy civil companies with about 5 to 100 employees. That's who we build for: small to midsized contractors. Small, for us, means a real crew. Not a one-man shop.

Is SmartCrew a fit for your crew size?
Your companySmartCrew?Why
1 to 4 peopleProbably not yetIf it's you and a helper, a quoting and invoicing app may be all you need. We built SmartCrew for companies with crews to manage.
5 to 20 peopleYesThe owner still runs a machine some days. The office is one or two people. You don't need more software. You need fewer places to look.
20 to 50 peopleYesA few crews, a shop and trucks on different jobs. Our own family company runs 20 to 30 guys. This is the size we built it for.
50 to 100 peopleYesMore crews, more iron, more tickets. Same simple app for the field. You see every job against the bid.
Over 100 peopleProbably notBigger companies often want enterprise software with a full-time admin. That's not us. See HCSS HeavyJob vs SmartCrew.

Questions people ask

What is crew scheduling software?

It's software that puts crews, and for dirtwork the machines too, on a calendar by job and day, and tells the crew when the plan changes. It replaces the whiteboard, the group text and the 9 p.m. phone calls.

How do I schedule crews and equipment together?

Use a schedule where the job carries both the people and the machines. In SmartCrew you make job and equipment assignments on the same calendar, so moving a job moves the crew and the iron with it.

How do crews find out about schedule changes?

SmartCrew sends schedule updates and notifications to the people affected, and dispatch with instant alerts covers the urgent changes. Questions go in the job's chat channel.

Can SmartCrew replace our group text?

Yes! Crew and team messaging, job-specific chat channels and company announcements are built in, so the conversation stays with the job instead of in a text thread.

Can workers request time off in the app?

Yes. Crew members can request a day off from their phone, which saves a text to the office and a sticky note that gets lost.

Is scheduling in every SmartCrew plan?

Feature availability varies by plan. Scheduling & Communications is a Premium category, along with Fleet Management and Sales CRM.

How much does SmartCrew cost?

SmartCrew starts at $99/month, and it's built to be well below the cost of enterprise construction software. Contact us for team pricing.
