Knowify vs SmartCrew (2026): Pricing, Features & Best Alternatives

Knowify is job costing and project software for trade contractors: electrical, HVAC, mechanical, plumbing and other trades, built around QuickBooks. SmartCrew is built only for heavy civil and dirtwork companies with 5 to 100 employees: crew time, machines, inspections, haul tickets, daily reports and job profit in one app. If your money moves with iron and trucks, that's what SmartCrew is for.

Knowify does not offer: digital hauling tickets, AI reader for tickets & receipts, company announcements. Knowify doesn't list these either: clock in/out reminders, shop queue, deliveries & production tracking.

No: they do not offer it. Their own website says so, or it isn’t in the full feature list they publish (linked). Add-on: a paid add-on, a separate product or a higher plan. Limited: they have something close but narrower. Not listed (n/l on small screens): we searched their site and help pages and couldn’t find it, but they don’t publish a full list we could check.

This chart is SmartCrew’s feature list, so it doesn’t show what other products do that SmartCrew doesn’t (like estimating, payroll or hardware time clocks). Each comparison covers that in “where they’re the better pick”. SmartCrew’s Fleet Management, Sales CRM, and Scheduling & Communications are Premium categories; feature availability varies by plan.

Where each mark comes from

The short version

  • SmartCrew is built only for dirtwork and heavy civil: the clock-in, the machine, the inspection, the load and the job's profit in one app.
  • Knowify lists Core at $99 a month billed yearly ($149 monthly) with 1 user, and Advanced at $329 a month billed yearly ($399 monthly) with 10 users. Extra users are $29 a month each. Enterprise is by quote.
  • Job costing, daily logs and work orders start on Advanced. Equipment management and custom forms (inspections, safety checklists) are Enterprise only.
  • GPS on trucks and machines is a FleetSharp add-on: $19 a month per piece of equipment, and from $25 a month per vehicle.
  • Knowify is the better pick for AIA billing, cost plus contracts, prevailing wage and QuickBooks Desktop.
  • SmartCrew starts at $99/month. Contact us for team pricing.

Knowify is better for other trades. SmartCrew is built for dirtwork.

Knowify says it's designed specifically for trade contractors at small and medium sized businesses: electrical, HVAC, mechanical, plumbing or some other trade. Its trade pages cover electrical, plumbing, HVAC, painting, remodeling, concrete and excavating. Its own excavation page says Knowify isn't exclusively software for excavation contractors. For electricians, plumbers and HVAC contractors, Knowify is the better pick.

SmartCrew is built for one thing: heavy civil and dirtwork contractors with 5 to 100 employees. Excavation, grading, sitework, underground utilities, paving, road construction, demolition, septic, directional drilling and land clearing. That's all we do.

Where Knowify falls short on a dirtwork job:

  • Equipment management is Enterprise only. Scheduling your owned machines and tracking their usage costs is on the Enterprise plan, priced by quote. So are custom forms for inspections and safety checklists.
  • GPS on the iron costs extra. Live equipment tracking is a FleetSharp add-on: $19 a month per machine, from $25 a month per truck.
  • Job costing and daily logs start on Advanced. That's $399 a month billed monthly for 10 users, plus $29 for every user after that.
  • Not listed: haul tickets, DOT inspections or a shop queue. Its AI Connector analyzes your data. We couldn't find an AI reader for tickets.

What Knowify is, and who it's for

Knowify was co-founded in 2012 to help small and mid-size construction companies run the business side. Its about page says trade contractors, especially subcontractors, have been overlooked by software built for general contractors and homebuilders. It was built to complement QuickBooks Online.

The product follows the money. Estimates and proposals. Fixed-price, AIA and cost plus contracts. Change orders, progress billing and AIA pay apps. Job costing and WIP reports. A two-way sync with QuickBooks Online, and a QuickBooks Desktop integration too. On the field side there's a mobile app for clock-ins, photos, expenses and tasks.

It's built for a trade contractor whose hard part is billing the job right. Where it gets thin is the iron. On its excavation page, equipment means adding tools like mixers and compactors, scheduling them and assigning usage costs.

How much does Knowify cost?

Knowify publishes its prices. Here's what its pricing page listed on October 28, 2026.

Knowify list prices, US dollars

Add-ons: Service Pro from $99 a month, live equipment tracking from FleetSharp at $19 a month per machine and from $25 a month per vehicle. Source: Knowify pricing, October 28, 2026. Prices and plans change.

Public prices are a real plus. The part to read twice is which plan holds the tools a dirt crew uses every day. Job costing and daily logs start on Advanced. Equipment management and custom forms start on Enterprise.

SmartCrew starts at $99/month, and it's built to be well below the cost of enterprise construction software. Contact us for team pricing.

The key difference: built for the trades vs built only for dirtwork

When we went looking for software for our own family business, nothing fit. We only run 20-30 guys and there was nothing specifically designed for our size of heavy civil business. Knowify is built for trade contractors who bill progress and AIA pay apps. Here's where that shows up on a dirt job.

Machines and the shop

Knowify's time tracking covers employee and equipment time, and its daily logs show which equipment was on site and for how many hours. Scheduling machines to project phases and assigning usage costs is equipment management, on Enterprise. Maintenance reminders and maintenance requests from the field come through the FleetSharp add-on.

In SmartCrew every machine has a record: hours, mileage, last and next service, and its inspection log. When an operator reports a problem from the cab, it lands in the shop's service queue with how urgent it is. We couldn't find a shop queue on Knowify's site.

Inspections

Knowify's forms builder can hold equipment inspection checklists, pre-trip vehicle inspections, safety assessments and toolbox talks. It's a strong builder, and it's on Enterprise. SmartCrew comes with DOT and daily inspections on the phone, tied to the machine's record.

Trucks and loads

We didn't find haul or load tickets on Knowify's site. In SmartCrew the haul ticket is the record. Truck, project, import or export, material, yards and the pit it came from. Snap a photo of the paper ticket and the AI reader fills it in.

Knowing your profit every day

Knowify's job costing is real. It assigns labor, materials, equipment and subs to the right project and phase, and its WIP report shows over and under billing. It starts on Advanced. SmartCrew does it from the field data: the operator picks the machine at clock-in, loads and receipts land on the job, and the job page shows budget against spent for labor, materials, equipment, other costs and change orders.

What the crew has to do

Knowify's crew clocks in on the mobile app, with geofencing as an option, or a foreman enters time for the crew. The schedule shows up on their phone. Our crews aren't tech savvy. And they don't need to be. In SmartCrew one phone app does the clock-in with job, activity code and machine, then the inspection, the haul log, the receipts and the daily report.

SmartCrew equipment list: each machine's ID, year, make, model, category, hourly rate and hours
SmartCrew service queue: equipment problems reported from the field with who reported them, when, urgency and repair status

SmartCrew's equipment list with each machine's hours and rate, and the shop's service queue with who reported each problem, its urgency and its status. (Demo data.)

SmartCrew hauling log on a phone: date, truck, project, import or export, the pit the load came from and notes
SmartCrew hauling log: each load ticket's time, truck, project, import or export, material, yards and pit or yard it came from

A load logged from the truck, and the office's hauling log with truck, material, yards and pit. (Demo account.)

Knowify vs the other construction management tools

Knowify sits with JobTread, Projul, Contractor Foreman, Procore, HCSS HeavyJob and Raken. These are built to run whole projects, or whole companies across a lot of trades. Here's how each one lines up against SmartCrew's full feature list, marked from each company's own website.

Feature chartSmartCrew vs enterprise and construction management software

Built to run big projects or every kind of contractor. Lots of power, but more setup, more screens and a bigger bill than most 5 to 100 person dirtwork companies need.

Where each mark comes from

When Knowify still makes sense

Knowify makes sense for a trade contractor whose hard part is billing the job and keeping QuickBooks right.

Pick SmartCrew if

  • You run excavators, dozers and dump trucks and want machine hours, DOT inspections and the shop queue in the same app as time.
  • You haul, and you want haul tickets entered from a photo of the paper ticket.
  • You want profit against the bid every day, with the iron on its own line.
  • Your guys need one simple phone app for the clock-in, the inspection, the load and the daily report.
  • You have 5 to 100 employees, use QuickBooks Online, and want us to set it up and train your people.

Pick Knowify if

  • You're an electrical, HVAC, mechanical or plumbing contractor.
  • You bill AIA pay apps, cost plus or prevailing wage jobs, or you run QuickBooks Desktop.

The best Knowify alternatives in 2026

  1. SmartCrew, for dirtwork and heavy civil companies with 5 to 100 employees that want crews, machines, loads and job profit in one app. That's us, so weigh this pick with that in mind.
  2. JobTread, estimating and job costing for builders and remodelers, with one plan at $199 a month plus users. See JobTread vs SmartCrew.
  3. Projul, CRM, estimating and billing for more than 30 trades, on four flat-rate plans. See Projul vs SmartCrew.
  4. Contractor Foreman, a low-cost all-in-one for general, trade and service contractors, from $49 a month billed annually. See Contractor Foreman vs SmartCrew.
  5. HCSS HeavyJob, for bigger heavy civil contractors that self-perform with their own crews and equipment, priced by quote. See HCSS HeavyJob vs SmartCrew.

Knowify is aimed at trades like electrical and plumbing. Heavy civil alternatives are the hcss alternative and the b2w alternative.

Switching from Knowify

You don't have to move everything at once. You can keep Knowify for billing and run the field in SmartCrew, or move over completely. Either way, we do the heavy lifting.

  1. Decide what stays

If your pay apps and progress billing already run in Knowify, that can stay. Pick the field side to move first.

  2. We set up your jobs, cost codes and machines

Our team sets up your account, moves your information over and organizes your workflows around how your crews work.

  3. Your guys clock in on day one

They pick the job, the activity code and the machine. The office sees live crew locations right away.

  4. Add inspections, loads and job costing

DOT inspections, haul tickets, daily reports and job profit come next. We train your people as you go. Most companies are up and running within a few weeks.

Questions people ask

Is Knowify good for excavation companies?

Knowify has an excavation page and billing and job costing tools. Its own page says it isn't exclusively software for excavation contractors, and that it's designed for trade contractors. Equipment management and inspection forms are on its Enterprise plan, and we couldn't find haul tickets, DOT inspections or a shop queue. SmartCrew is built only for dirtwork and heavy civil.

How much does Knowify cost?

On October 28, 2026, Knowify listed Core at $99 a month billed yearly ($149 monthly) with 1 user, and Advanced at $329 a month billed yearly ($399 monthly) with 10 users. Extra users are $29 a month each. Enterprise, with unlimited users, is priced by quote.

Does Knowify track heavy equipment?

Its time tracking covers equipment time, and daily logs show equipment hours on site. Scheduling owned equipment and assigning usage costs is on the Enterprise plan. GPS location, maintenance reminders and maintenance requests come through the FleetSharp add-on, priced per machine and per vehicle.

Does Knowify work with QuickBooks?

Yes. Knowify has a two-way sync with QuickBooks Online and integrations with QuickBooks Desktop, QuickBooks Time, QuickBooks Online Payroll and QuickBooks Payments. SmartCrew integrates with QuickBooks Online today, and we're working on QuickBooks Desktop, Foundation, ADP and more.

Does SmartCrew do AIA billing like Knowify?

No. SmartCrew doesn't do estimating, takeoff or AIA pay apps. It tracks your bid budget against actual cost once the job is won. If progress billing and pay apps are the center of your office, Knowify is built for that.

How much does SmartCrew cost?

SmartCrew starts at $99/month, and it's built to be well below the cost of enterprise construction software. Contact us for team pricing.
