Construction daily report app for dirtwork crews

A construction daily report app puts the day's record on the foreman's phone. What got done. Who was there. Which machines ran. What got hauled. Photos of the work, and anything that went wrong. The office gets it the same day, not at the end of the week. SmartCrew does daily reports this way for heavy civil and dirtwork companies with 5 to 100 employees. Your guys submit the day with photos and voice notes, and the office gets an automatic daily report.

The short version

  • A daily report is the written record of one day on one job: crew, hours, machines, work done, loads, materials, delays, safety and photos.
  • On a dirt job it's your proof. Extra work, change orders, weather days and disputes all come back to what got written down that day.
  • OSHA's excavation rule (29 CFR 1926.651(k)) asks for daily inspections of excavations by a competent person. It doesn't say the inspection has to be written down. If it isn't, you can't show it happened.
  • In SmartCrew the crew captures daily progress, production, photos and field notes on their phones, and the office gets an automatic daily report.
  • SmartCrew is built for heavy civil and dirtwork. Raken and Procore are built around the daily log for GCs and specialty trades.
SmartCrew reports menu on a phone: incident report, service request, service records, hauling log, receipts, service queue, field usage, DOT inspection and scheduling
A SmartCrew job page for a culvert replacement: revenue, expenses and profit, budget versus spent for labor, materials, equipment, other costs and change orders, a jobsite map and hours by employee

What goes in a construction daily report?

Everything you'd need to tell the story of that day six months from now. For a dirtwork crew, that usually means:

  • The basics. Job, date, weather and who filled it out.
  • The crew. Who was on site and how many hours.
  • The iron. Which machines ran and for how long.
  • The work. What got done, with quantities: yards moved, feet of pipe, loads hauled.
  • Materials and deliveries. What came in, what went out, and from which pit.
  • Delays. Rain, a utility conflict, waiting on the GC or an inspector.
  • Safety. Near misses, incidents and the toolbox talk.
  • Extra work. Anything outside the bid, so it turns into a change order instead of a donation.
  • Photos. Before, during and after.

Why does a dirtwork company need daily reports?

Because the daily report is the proof. When you hit rock that wasn't in the bid, the daily report with photos is what gets the change order paid. When a GC says your crew wasn't there Tuesday, it's the daily report. When it rained three days straight, it's the daily report.

There's a safety side too. OSHA's excavation rule asks for daily inspections of excavations, the adjacent areas and protective systems by a competent person, before work starts and as needed through the shift. The rule doesn't say the inspection has to be written down. But if it isn't written down, you can't show it happened.

A daily report only works if it gets done every day, and the office actually sees it. Paper doesn't do either very well.

How SmartCrew does daily reports

Know what got done. Without asking. SmartCrew captures daily progress, photos and field updates without chasing paperwork.

  • Daily progress and production logs. What got done today, on this job.
  • Jobsite photos and field notes. Submit photos, project updates, materials and more, with voice notes when typing isn't happening.
  • Automatic daily reports for the office. No calling the foreman at 6 PM.

It's the same app your guys clock in on. So the day's hours, the machine they ran and the equipment time are already there. Loads go in the hauling log. Incidents and equipment problems go in from the same phone. At the end of the day: clock out. You're done. Hours, equipment time and daily reports captured. No paperwork to chase.

Raken's who we serve page lists electrical, concrete, mechanical, roofing, plumbing, painting and steel. If you're a GC or one of those trades and the daily report is the center of your day, Raken is the better pick. If your day is iron, dirt and trucks, SmartCrew puts the daily report next to the clock-in, the machine and the load.

No: they do not offer it. Their own website says so, or it isn’t in the full feature list they publish (linked). Add-on: a paid add-on, a separate product or a higher plan. Limited: they have something close but narrower. Not listed (n/l on small screens): we searched their site and help pages and couldn’t find it, but they don’t publish a full list we could check. Tap a name for the full comparison.

This chart is SmartCrew’s feature list, so it doesn’t show what other products do that SmartCrew doesn’t (like estimating, payroll or hardware time clocks). Each comparison covers that in “where they’re the better pick”. SmartCrew’s Fleet Management, Sales CRM, and Scheduling & Communications are Premium categories; feature availability varies by plan.

Where each mark comes from

What to look for in a daily report app

  • Can a foreman finish it in a couple of minutes at the end of a long day?
  • Are crew hours and machines already filled in from the clock-in, or typed again?
  • Do photos land on the job with the report?
  • Does the office get it automatically, or does someone have to go looking?
  • Can you find one day on one job months later in seconds?
  • Is it on the plan you're actually buying, or a higher one?
  • Is it built for your kind of work, or for every trade at once?

Who is SmartCrew for, by crew size?

Dirtwork and heavy civil companies with about 5 to 100 employees. That's who we build for: small to midsized contractors. Small, for us, means a real crew. Not a one-man shop.

Is SmartCrew a fit for your crew size?
Your companySmartCrew?Why
1 to 4 peopleProbably not yetIf it's you and a helper, a quoting and invoicing app may be all you need. We built SmartCrew for companies with crews to manage.
5 to 20 peopleYesThe owner still runs a machine some days. The office is one or two people. You don't need more software. You need fewer places to look.
20 to 50 peopleYesA few crews, a shop and trucks on different jobs. Our own family company runs 20 to 30 guys. This is the size we built it for.
50 to 100 peopleYesMore crews, more iron, more tickets. Same simple app for the field. You see every job against the bid.
Over 100 peopleProbably notBigger companies often want enterprise software with a full-time admin. That's not us. See HCSS HeavyJob vs SmartCrew.

Questions people ask

What is a construction daily report?

It's the written record of one day on one job: who was there, how many hours, which equipment ran, what work got done, materials and deliveries, delays, safety events and photos. It's usually filled out by the foreman or superintendent.

What should a daily report include for an excavation crew?

The job, date and weather, the crew and their hours, the machines and their hours, the work done with quantities like yards moved or loads hauled, materials and deliveries, delays, safety events, any extra work outside the bid, and photos.

Does OSHA require a daily report?

There's no general OSHA daily report form. For excavations, 29 CFR 1926.651(k) asks for daily inspections of excavations, the adjacent areas and protective systems by a competent person. The rule doesn't require them to be written, but a written record is how you show they happened. This is a plain-English summary, not legal advice.

Can SmartCrew send daily reports to the office automatically?

Yes! SmartCrew includes automatic daily reports for the office, along with daily progress and production logs, jobsite photos and field notes. Your guys submit them from the same app they clock in on.

What's the best daily report app for dirtwork contractors?

SmartCrew is built for heavy civil and dirtwork companies with 5 to 100 employees, with the daily report next to the clock-in, the machine and the haul ticket. If you're a GC or a specialty trade and the daily report is the center of your day, Raken or Procore are built for that.

How much does SmartCrew cost?

SmartCrew starts at $99/month, and it's built to be well below the cost of enterprise construction software. Contact us for team pricing.
