Underground utility contractor software for water, sewer and trenching crews

Underground utility contractor software should show you every day how many feet went in the ground and what they cost. In hours, in iron and in material. SmartCrew keeps the crew's hours by activity, the machines, pipe and stone tickets, the daily footage and the safety paperwork on one job. From one phone app. It's built for dirtwork and heavy civil companies with 5 to 100 employees.

The short version

  • A utility job is measured in feet per day. Crew hours, machine hours and material all divide into that number.
  • The crew clocks in to the activity (dig, lay pipe, backfill, restoration) with the machine they're running.
  • Pipe, fittings and stone go on the materials log; spoil and stone loads go in the hauling log.
  • JSAs, toolbox talks and incident reports are on the phone. SmartCrew doesn't replace your competent person.
  • On long pipeline jobs, live crew locations and job chat channels keep a spread-out crew connected.

What does an underground utility crew's week look like?

Dig, lay, backfill, move. Repeat. A utility crew's week is a line on a plan sheet turning into pipe in the ground, a few joints at a time.

A typical crew is an excavator operator, a pipe layer, a top man or two, and a loader or skid steer for stone and backfill. Before the bucket goes in, the locates have to be marked. Every morning somebody checks the trench before anyone gets in it. The trench box moves with the crew. Trucks bring stone and pipe in, and haul spoil out when it can't go back in the hole.

At the end comes testing, then restoration: patching pavement, seeding, putting back driveways and mailboxes. Restoration is where a lot of utility jobs give back their margin, because it comes last and nobody's watching the hours.

How utility jobs make or lose money

Utility work is usually bid by the foot or by the unit. You make money when the crew beats the footage you bid. You lose it when the crew hits rock or water and slows down, when the excavator waits on pipe, when stone gets billed to the wrong job, and when restoration runs long.

What does utility contractor management software have to track?

Footage, hours by activity, machines, material and the safety paperwork, all on the job. Here's how each one looks on a pipe job and where it goes in SmartCrew.

What do OSHA's trenching rules mean for your crew's paperwork?

They mean the trench has to be checked, protected and handled the way the rule says, every day, by the right person. OSHA's excavation standard, 29 CFR 1926 Subpart P, applies to every open excavation, and trenches count (eCFR 1926.650). A few of the rules that shape a utility crew's day:

  • Locates first. The estimated location of sewer, telephone, fuel, electric, water and other underground lines has to be determined before the excavation is opened, and utility companies or owners have to be contacted (1926.651(b)).
  • Daily inspections. A competent person has to inspect the excavation, the area around it and the protective systems daily: before work starts, as needed during the shift and after every rainstorm, whenever workers can be expected to be exposed (1926.651(k)).
  • A way out. Trenches 4 feet or deeper need a stairway, ladder, ramp or other safe way out within 25 feet of lateral travel (1926.651(c)(2)).
  • Spoil back from the edge. Dirt, materials and equipment have to stay at least 2 feet from the edge, or be held back by retaining devices (1926.651(j)(2)).
  • Cave-in protection. A protective system is required unless the excavation is entirely in stable rock, or under 5 feet deep with no sign of a cave-in to a competent person (1926.652(a)).

Your state may run its own plan with rules on top of these. Read the standard itself, not a summary, including this one.

SmartCrew doesn't replace your competent person, and it isn't a trench inspection checklist. What it does: put the JSA and the toolbox talk on the phone before work starts, keep incident and near miss reports with photos, and send a trench safety talk to every crew at once as a company announcement. Keep plan sheets and locate ticket photos in the job's files so the foreman has them in the truck.

How does SmartCrew run a utility crew's day?

Same app for the whole crew, in the order the work happens.

  1. JSA and toolbox talk

Before the bucket goes in, the foreman runs the JSA and the toolbox talk from his phone, and they're saved with the job.

  2. Clock in to the activity

Each guy clocks in to the job and the activity: digging, laying pipe or backfill. The operator picks the excavator.

  3. Log what comes in and goes out

Stone and spoil loads go in the hauling log. A delivery ticket for pipe? Snap a photo and the AI reader enters it.

  4. Switch when the work changes

When the pipe's in and it's time to restore, the crew taps Log & Switch to the restoration activity, and the hours follow.

  5. Footage in the daily report

End of day, the foreman logs footage, structures set and photos. The office sees production without calling him at supper.

Water and sewer, trenching or pipeline: what changes?

The pieces stay the same. What changes is where the money hides.

Water and sewer contractor software

Water and sewer jobs are as much about structures and services as main line: manholes, valves, hydrants, taps. Log each one in the daily report's production log with a photo, and give the big ones their own activity code, so you learn what a manhole really costs you to set.

Trenching contractor software

A trenching outfit might run a trencher or a small excavator on several short jobs a week: conduit, irrigation, drain tile, service lines. Here the trouble is hours on the right job and the right machine on the right trailer. Crew scheduling with job and equipment assignments handles the moves.

Pipeline construction management software

Long linear jobs spread a crew out over miles. Live crew locations show where everyone clocked in, job chat channels keep each crew talking, and dispatch alerts reach everybody at once. SmartCrew is built for companies with 5 to 100 employees, so it fits a small pipeline contractor or a sub on a bigger line, not a mainline spread with hundreds of people.

Feature chartSmartCrew's safety, materials, crew communication and time features next to other construction software, marked from each company's own website.

Built to track hours. Great at the timecard, but the rest of the business (machines, loads, job profit) lives somewhere else.

Where each mark comes from

What doesn't SmartCrew do for a utility contractor?

Here's what stays in other tools. Better to know now than after a demo.

  • Estimating and takeoff. Footage, structures and the bid come from your estimating tool. SmartCrew tracks the job against the bid.
  • One call and locates. SmartCrew has no one call integration. Photograph the ticket and the marks into the job's files.
  • GPS machine control and telematics hardware. Grade and depth control on the excavator, and GPS units on your machines, are separate systems.
  • Payroll processing. Timecards come out payroll-ready. Payroll, including certified payroll on public jobs, runs in your payroll or accounting software.
  • ELD. SmartCrew does DOT inspections on your trucks, not the driver's electronic log.

Time tracking apps vs enterprise software for a utility contractor

Our crews aren't tech savvy. And they don't need to be.

Andrew Drish, SmartCrew founder

That matters more in a trench than anywhere. Your pipe layer has mud to his elbows. Whatever you pick, the field side has to be one big button.

Time tracking apps like ExakTime, BusyBusy, ClockShark, WorkMax and QuickBooks Time do that button well. Then the material, the loads, the JSA and the cost per foot go back to paper and spreadsheets.

Enterprise software like HCSS HeavyJob, Procore and Raken covers more, for companies big enough to staff the rollout. For a utility contractor with 5 to 100 employees, that's usually more system than the job needs. The heavy civil page goes into where that line falls.

What should you ask any utility contractor software vendor?

Underground utility construction software lives or dies in the trench. Ask these with your foreman in the room.

  1. Can my pipe crew switch from digging to laying pipe to restoration without starting a new timecard?
  2. Where does the foreman log footage, and can I see it next to the hours?
  3. Show me a pipe delivery ticket going from a photo to the job.
  4. Where do JSAs and toolbox talks live, and can I pull them up later?
  5. Can I see cost against the bid while the job is still open?
  6. On a long job, can I see where each crew clocked in?
  7. Who sets it up, and how long until the crew is using it?

Our answer to the last one: we do the heavy lifting. Our team sets up your account, moves your information over and trains your people. Most companies are up and running within a few weeks.

Is SmartCrew right for a small underground utility company?

Yes, if you have about 5 to 100 employees. That's who we build for: small to midsized contractors. Small, for us, means a real crew. Not a one-man shop.

Is SmartCrew a fit for your crew size?
Your companySmartCrew?Why
1 to 4 peopleProbably not yetIf it's you and a helper, a quoting and invoicing app may be all you need. We built SmartCrew for companies with crews to manage.
5 to 20 peopleYesThe owner still runs a machine some days. The office is one or two people. You don't need more software. You need fewer places to look.
20 to 50 peopleYesA few crews, a shop and trucks on different jobs. Our own family company runs 20 to 30 guys. This is the size we built it for.
50 to 100 peopleYesMore crews, more iron, more tickets. Same simple app for the field. You see every job against the bid.
Over 100 peopleProbably notBigger companies often want enterprise software with a full-time admin. That's not us. See HCSS HeavyJob vs SmartCrew.

Questions people ask

What is the best software for an underground utility contractor?

One that ties crew hours, machine hours, pipe and stone to the job and shows footage next to cost. SmartCrew does that for dirtwork and heavy civil companies with 5 to 100 employees, with JSAs, toolbox talks and incident reports in the same app.

Can SmartCrew track footage per day?

Yes, in the daily report. The foreman logs footage and structures in the progress and production log with photos, and the office sees it alongside the hours, machines and material on the same job.

Does SmartCrew handle OSHA trench inspections?

No. OSHA requires a competent person to inspect excavations daily under 29 CFR 1926.651(k), and SmartCrew doesn't replace that person or provide a trench inspection checklist. It keeps JSAs, toolbox talks and incident reports on the phone, and plans and photos in the job's files.

Is SmartCrew water and sewer contractor software?

Yes. Main line, services and structures go on activity codes, pipe and fittings on the materials log, and spoil and stone in the hauling log. The job page shows labor, equipment and material against the bid.

Is SmartCrew pipeline construction management software?

For small pipeline contractors and subs, yes. Live crew locations, job chat channels and dispatch alerts help on long linear jobs. It's built for companies with 5 to 100 employees, not mainline spreads with hundreds of people.

Does SmartCrew do one call or locate tickets?

No. There's no one call integration. Photograph the locate ticket and the marks into the job's files so the office and the field are looking at the same thing.

How much does utility contractor management software cost?

For SmartCrew, pricing depends on your company size and the features you need; it's built to be well below enterprise construction software. SmartCrew starts at $99/month. Contact us for team pricing.
