Job Costing · Know your profit. Every day.

Construction job costing: know your profit. Every day.

Construction job costing compares what you bid with what the job is actually costing, line by line, while there's still time to fix it. In SmartCrew every job shows revenue, expenses and profit. Labor, materials, equipment, other costs and change orders, budget against spent. The numbers come from the hours, loads and receipts your crew already logs in the field. So you see how every job is performing against your bid as work happens.

The short version

  • Each job page shows revenue, expenses and profit, then budget against spent for labor, materials, equipment, other costs and change orders.
  • Labor comes from GPS clock-ins tagged to the job and activity code. Machine hours come from the equipment the operator picks at clock-in.
  • Haul tickets, material and fuel logs and receipt photos put the rest of the cost on the job, without a weekend of data entry.
  • Worked example: machine and truck hours can put a dirt job further over bid than the labor does. Loads per truck hour show why.
  • Change orders and extras sit next to the original budget, so extra work doesn't hide inside a job that looks fine.
  • SmartCrew isn't estimating or accounting software. You bid where you bid today, and QuickBooks Online stays your books.

Why do dirtwork owners find out a job lost money too late?

Because the costs show up weeks after the work. By the time the last invoice is in, the dozer is on the next job and the crew has moved on.

Paper timecards. Lost hauling tickets. Equipment breakdowns. Endless spreadsheets. And never really knowing how much money you're making on a job until it's too late.

Andrew Drish, founder of SmartCrew

That's the life of a lot of dirtwork companies, ours included. The timecards come in Friday. Haul tickets ride around in the truck door. Fuel receipts sit on the dash. The extra work the GC asked for happened on a handshake and never got written up.

None of that is hard math. Adding up labor, machines and material is simple. The hard part is getting the numbers in while the job is still running.

What goes into the cost of a dirtwork job?

Labor, machines, material, trucking and the extras. On most heavy civil jobs, labor and equipment are the big two, and trucking can be right behind them on a mass excavation or an import job.

How does SmartCrew show your profit every day?

You put the bid's budget on the job once, and the field fills in the actual cost every day. Nobody has to build a report. You open the job and read it.

  1. Put the bid on the job

Enter the budget for labor, materials, equipment, other costs and change orders. Our team helps you set up your jobs and cost codes when you start.

  2. The crew clocks in to the job

Each worker picks the project, the activity code and the machine on their phone. Labor and machine hours land on the job from the first minute.

  3. Loads, material and receipts go in from the field

Haul tickets, material and fuel logs and receipt photos are logged on the phone. The AI reader enters the data from the photo.

  4. Extras get written down when they happen

Change orders and extras go on the job next to the original budget, not in somebody's memory.

  5. Read the job page

Revenue, expenses and profit on top. Budget against spent for each line below. Hours by employee, and a cost codes tab to see where the hours went.

  6. Look across every job

The projects board totals revenue, expenses and profit across your jobs, grouped as accepted, in progress, on hold and completed.

SmartCrew projects board: total revenue, expenses and profit across jobs, a map of job locations and jobs grouped as accepted, in progress, on hold and completed
SmartCrew office dashboard: live labor, material and equipment cost, active projects, overtime hours, a map of crews on jobsites and a list of who is clocked in on which job and machine

The projects board with revenue, expenses and profit across jobs, and the office dashboard with live labor, material and equipment cost. (Demo data, not a real company.)

What does a losing job look like in week one?

It looks fine from the truck and wrong on the job page. This is an example with made-up numbers to show how the math works. It's not a SmartCrew customer or a statistic.

Say you bid a building pad with 320 labor hours. At the end of week one, the foreman figures about a third of the dirt is moved. The job page shows 150 labor hours already spent.

Example: the pad job at the end of week one
BidSpent so farOn pace for
Labor hours320150 (about 1/3 of the work)150 × 3 = 450
Hours over bid450 − 320 = 130
Cost of the overrun at $45 an hour130 × $45 = $5,850

Example numbers only. $45 an hour stands in for a loaded labor cost; use your own.

Now open the cost codes tab. Say most of the extra hours are under loading trucks, not excavation. That usually means the excavator was waiting on trucks, and the operator and the machine were both on the clock doing nothing.

In week one you can add a truck, change the haul route or talk to the GC. At the end of the job, all you can do is write it down for the next bid. (And hope you remember.)

How do machine and truck hours change the cost of a dirt job?

On a dirt job the iron and the trucks usually cost more per hour than the men running them. So the same slow week hurts twice. Same pad job, same made-up numbers, now with the excavator and the trucks.

Example: machine and truck hours on the pad job at the end of week one
BidWeek oneOn pace forOver bid
Excavator hours at $150 an hour803838 × 3 = 11434 hours × $150 = $5,100
Truck hours at $95 an hour12050
Loads hauled600160
Loads per truck hour600 ÷ 120 = 5160 ÷ 50 = 3.2
Truck hours to haul all 600 loads120600 ÷ 3.2 = 187.567.5 hours × $95 = $6,412.50

Week one is about a third of the work done. The bid has 3 trucks at 40 hours each. Example numbers only, not a SmartCrew customer or a statistic. $150 and $95 stand in for your own machine and truck rates.

Add the labor from above and this pad is about $17,000 over bid after one week. ($5,850 + $5,100 + $6,412.50 = $17,362.50.) None of it shows up on a bank balance yet.

The loads per truck hour tell you why. The bid planned 5 loads an hour and the trucks are doing 3.2. That's a longer haul, a slow dump site or trucks stacking up at the excavator. Fix the cycle and the excavator, the operator and the trucks all get cheaper at once.

In SmartCrew the machine hours come from the equipment each operator picks at clock-in, priced at the hourly rate in your equipment list. The loads come from the hauling log by truck, material and yards. You see both on the job while you can still add a truck or change the dump site.

SmartCrew materials screen: orders by project and vendor with quantity, unit cost, class, delivery date and whether each is billable and paid
SmartCrew hauling log: each load ticket's time, truck, project, import or export, material, yards and pit or yard it came from

Materials by project and vendor, and the hauling log by truck, material and yards. Both feed the job's cost. (Demo data.)

Can a time tracking app or enterprise software do job costing?

Enterprise software can. Most time tracking apps stop at the hour, so the job cost gets built later in a spreadsheet. Enterprise software does real job costing, but it was too complicated, confusing and expensive for a 20 to 30 man company like ours. Here's SmartCrew's job costing list next to both groups.

Built to track hours. Great at the timecard, but the rest of the business (machines, loads, job profit) lives somewhere else.

Where each mark comes from

Where do change orders and extras go?

They go on the job, next to the original budget, the day the work happens. That's where a lot of margin leaks out on dirt jobs.

The GC asks for one more pass on the subgrade. The engineer moves a structure. You hit rock nobody showed on the plans. The crew does the work because the work has to get done. If it isn't written down that day, it gets forgotten by billing day. With change orders and extras on the job page, you see what the job really earned, and what you still need to bill.

Isn't that what QuickBooks is for?

QuickBooks is your books, and it should stay your books. SmartCrew integrates with QuickBooks Online. It doesn't replace it.

The difference is timing. Accounting shows the job once the bills are entered and paid. Job costing in the field shows the job while the crew is still on it. You want both. One tells your accountant what happened. The other tells you what to change tomorrow morning.

What to look for in any construction job costing software

Look for software that compares against your bid, fills itself from the field, and shows every cost line in one place. Here's what we'd ask.

  • Does it compare against your bid budget, or only show what you've spent?
  • Are labor, equipment, materials and hauling on the same job page, or do you build the report in a spreadsheet?
  • Does the labor number come straight from the crew's clock-ins, or does someone retype timecards?
  • Do machine hours reach the job, or live in a separate fleet app?
  • How fast does a haul ticket or a receipt show up on the job?
  • Are change orders tracked next to the original budget?
  • Can you see hours by cost code, so you know which part of the job is over?
  • Is job costing on every plan, or a higher tier?

What SmartCrew job costing doesn't do

It doesn't do estimating or takeoff. You build the bid in the tool or spreadsheet you use today, and the budget goes on the job in SmartCrew. It isn't accounting software, and it doesn't process payroll. QuickBooks Online handles those, and we're working on QuickBooks Desktop, Foundation, ADP and more.

If you need estimating, takeoff and accounting in one big system for hundreds of people, that's enterprise territory, and we're not trying to be that. We built SmartCrew for dirtwork and heavy civil companies with 5 to 100 employees. See how it compares with Procore, HCSS HeavyJob and JobTread, or how the hours get in with construction time tracking.

Who is SmartCrew for, by crew size?

Dirtwork and heavy civil companies with about 5 to 100 employees. That's who we build for: small to midsized contractors. Small, for us, means a real crew. Not a one-man shop.

Is SmartCrew a fit for your crew size?
Your companySmartCrew?Why
1 to 4 peopleProbably not yetIf it's you and a helper, a quoting and invoicing app may be all you need. We built SmartCrew for companies with crews to manage.
5 to 20 peopleYesThe owner still runs a machine some days. The office is one or two people. You don't need more software. You need fewer places to look.
20 to 50 peopleYesA few crews, a shop and trucks on different jobs. Our own family company runs 20 to 30 guys. This is the size we built it for.
50 to 100 peopleYesMore crews, more iron, more tickets. Same simple app for the field. You see every job against the bid.
Over 100 peopleProbably notBigger companies often want enterprise software with a full-time admin. That's not us. See HCSS HeavyJob vs SmartCrew.

Questions people ask

What is job costing in construction?

Job costing tracks what each job is costing, line by line (labor, equipment, materials, hauling, other costs and change orders), and compares it with your bid. The point is to see an overrun while the job is still running, not after it's closed.

How do you calculate the cost of an excavation job?

Add up labor hours times your labor cost, machine hours times each machine's rate, material and trucking, other costs and any change orders, then compare with the bid. The math is simple. The hard part is getting accurate hours and tickets on time, which is why SmartCrew pulls them from the crew's phones.

How often should I check job costs?

Daily on any job that's moving dirt, or at least weekly. A job that's 30% over in week one can still be fixed. In SmartCrew the job page updates as the field logs hours, loads and receipts.

What's the difference between job costing and accounting?

Accounting records what happened once the bills are in. Job costing shows the job against the bid while the crew is still working. SmartCrew does the job costing and integrates with QuickBooks Online for the accounting.

Does SmartCrew do estimating?

No. SmartCrew doesn't do estimating or takeoff. You bid the way you do today, and the bid's budget goes on the job so you can track actual cost against it.

Where does SmartCrew get the labor and equipment cost?

From the crew's clock-ins. Each worker picks the job, the activity code and the machine on their phone, so labor hours and machine hours land on the job without anyone retyping timecards.

How much does SmartCrew cost?

SmartCrew starts at $99/month, and it's built to be well below the cost of enterprise construction software. Contact us for team pricing.
