Heavy equipment maintenance software: keep your machines moving

Heavy equipment maintenance software keeps one record for every machine and truck: hours, inspections, fuel and service. And it gives the shop one list of what's broken and how urgent it is. SmartCrew does it inside the same app your operators clock in on. Machine hours come from the work itself, and problems get reported from the cab the day they show up. It's built for dirtwork and heavy civil companies that run their own iron.

The short version

  • Every machine gets one record: hours, mileage, last and next service, and its inspection log.
  • Machine hours come from the operator's clock-in, not from someone updating a spreadsheet when they remember.
  • Operators do DOT and daily inspections on their phone and send service requests to the shop from the field.
  • The Shop Queue shows every open problem with who reported it, when, how urgent it is and where the repair stands.
  • SmartCrew isn't telematics hardware or GPS machine control. Fleet Management is a Premium category; availability varies by plan.

Why do machines break down at the worst time?

Usually because a small problem never made it to the shop. A weeping hose. A track that's getting loose. A grease point that hasn't seen grease in a week. The operator noticed it on Tuesday and mentioned it to the foreman. The foreman had six other things going on.

By Thursday it's a blown hose on a machine that's holding up the whole crew, the trucks are waiting, and somebody's driving to the dealer for parts. Every dirtwork owner has lived that day.

Your operators know first. The software's job is to get it to the shop the same day.

What should maintenance software track on every machine?

It should track the machine, its hours, its inspections, its problems and its repairs, all in one place. Here's what that looks like in SmartCrew.

Where do the machine hours come from?

In SmartCrew they come from the operator. When he clocks in, he picks the job, the activity and the machine. The hours he works on that machine are the machine's hours, on that job.

That matters because most maintenance plans fall apart at the hour meter. Somebody is supposed to walk the yard and write down hours every week. Often they don't. Say the spreadsheet shows the loader at 4,100 hours when it's really at 4,350. The 250-hour service just got missed. When the hours come from the crew's day, they stay current without anyone doing extra work.

Operators also enter hours or miles on each inspection. That reading is saved with the inspection on the machine's record, so you've got a check against the clock-in hours.

How does SmartCrew run the shop, step by step?

The operator reports it from the cab, and the shop works it from one list. Here's the flow.

  1. Clock in on the machine

The operator picks the job, the activity and the machine. Hours start counting on that machine.

  2. Do the daily or DOT inspection

On the phone: pick the machine, enter hours or miles, and mark brakes, steering, lights, tires and the rest pass or fail.

  3. Report a problem

From the reports menu on the phone, the operator sends a service request. No hunting down the foreman, no sticky note on the dash.

  4. The shop sees it in the queue

The Shop Queue lists every problem with who reported it, when, the urgency and the repair status. A failing brake and a cracked mirror don't look the same.

  5. Fix it and close it out

The repair status moves along as the shop works it, and service records stay with the machine.

  6. Watch the whole fleet

Each machine's record shows hours, mileage, last and next service and its inspection log. Utilization rates show which iron is earning its keep.

What maintenance records do your trucks need?

If your dump trucks are commercial motor vehicles under FMCSA rules, the rules ask for a maintenance record on each one. These rules are written for vehicles on the highway. For off-road iron, the same kind of record is simply good practice.

  • A commercial motor vehicle includes one used on a highway in interstate commerce with a gross vehicle or combination weight rating (or actual weight, whichever is greater) of 10,001 pounds or more (49 CFR 390.5). Most dump trucks clear that easily.
  • Motor carriers must systematically inspect, repair and maintain the vehicles they control (49 CFR 396.3).
  • The record identifies the vehicle (company number, make, serial number and year), shows the nature and due date of inspections and maintenance, and records the date and nature of inspections, repairs and maintenance done (396.3(b)).
  • Those records are kept where the vehicle is housed or maintained for 1 year, and for 6 months after the vehicle leaves your control (396.3(c)).
  • Each commercial motor vehicle also needs a periodic inspection at least once every 12 months, with documentation on the vehicle (49 CFR 396.17).

That's a plain-English summary from the eCFR, not legal advice. Whether a given truck is covered depends on its weight rating and how it's used, so check with your safety consultant. SmartCrew's machine record keeps the unit, its last and next service, its service records and its inspection log in one place. The daily driver inspection is its own topic: see our pre-trip inspection app page.

Why should machine hours reach the job's cost?

Because a machine's cost only means something when you know which job it worked on. Each machine in SmartCrew has an hourly rate. When the operator clocks in on it, the hours land on the job and show up in the equipment line of job costing.

That answers the question every owner asks: did this job make money once the iron is counted? And utilization rates answer the next one. If a machine sits more than it works, maybe it should be sold, or rented out, or moved to the job that needs it.

Do you need a separate fleet maintenance app?

Not if your machines live in the same app as your crews' time. A lot of companies our size run a separate fleet or maintenance app, like Fleetio or MaintainX, next to a time tracking app. That works, but the machine's hours, its job and its operator live in different places. Time tracking apps were too basic to cover the shop, and enterprise software was too complicated and expensive. Here's SmartCrew's equipment list, next to the apps people compare it with.

Where each mark comes from

What to ask any heavy equipment maintenance software vendor

Ask where the hours come from first. Everything else depends on that number being right.

  • Where do the hours come from: meter readings someone types in, telematics, or the crew's time on the machine?
  • Can an operator report a problem from his phone in under a minute?
  • Does the shop see urgency and status, or just a list of complaints?
  • Are DOT and daily inspections in the same app, logged on the machine?
  • Do machine hours and repair costs reach the job's cost, or stay in a separate system?
  • Does it track fuel, and where does the fuel number come from?
  • Who loads your equipment list, and how long until the shop is using it?

On that last one: we do the heavy lifting. Our team sets up your account, moves your equipment and information over and trains your people. Most companies are up and running within a few weeks.

What SmartCrew doesn't do for your fleet

SmartCrew isn't telematics hardware. We don't put boxes on your machines, and we don't do GPS machine control for grading. It doesn't log driver hours of service, so trucks that need ELDs keep them.

It's also not built for equipment dealers or rental yards. It's built for contractors with 5 to 100 employees that own and run their own iron. If that's you, read how the daily check works on the pre-trip inspection app page, or see how SmartCrew compares with HCSS HeavyJob and WorkMax.

Who is SmartCrew for, by crew size?

Dirtwork and heavy civil companies with about 5 to 100 employees. That's who we build for: small to midsized contractors. Small, for us, means a real crew. Not a one-man shop.

Is SmartCrew a fit for your crew size?

Questions people ask

What is heavy equipment maintenance software?

It's software that keeps a record for every machine and truck, tracks hours, inspections and service, collects problems reported from the field and gives the shop one queue to work from. The good ones get hours from the field automatically instead of from a spreadsheet.

How do you track hours on heavy equipment without telematics?

Tie the machine to the operator's clock-in. In SmartCrew the operator picks the machine when he clocks in, so his hours on it are the machine's hours, on that job. Operators also enter hours or miles on each inspection.

Can operators report equipment problems from their phone?

Yes! Operators send a service request from the phone, and it shows up in the Shop Queue with who reported it, when, the urgency and the repair status.

How long do I keep maintenance records for my dump trucks?

For commercial motor vehicles under FMCSA rules, 49 CFR 396.3 says to keep inspection, repair and maintenance records for 1 year where the vehicle is housed or maintained, and for 6 months after it leaves your control. This is a summary, not legal advice.

Does SmartCrew connect to telematics or GPS machine control?

SmartCrew isn't telematics hardware or GPS machine control. Machine hours come from the crew's clock-ins and the readings operators enter on inspections.

Is equipment management in every SmartCrew plan?

Feature availability varies by plan. Fleet Management is a Premium category, so ask about it on the call.

How much does SmartCrew cost?

SmartCrew starts at $99/month, and it's built to be well below the cost of enterprise construction software. Contact us for team pricing.
